Identity of the Data Controller
The Data Protection Act and General Data Protection Regulation (GDPR) 2018 controls how your personal information is used by organisations, businesses or the government. Under the Act Northampton General Hospital NHS Trust is defined as a ‘data controller’ of personal information shared with NGH Automation Accelerator. What we collect
We will collect the following information if you choose to register for an account with us or to subscribe to our communications:

- RPA Vendor Name
- First Name
- Last Name
- Email Address
- Job Title
- Telephone Number (optional)
- Department
When registering for an account we will provide you with options which you can choose to opt in to regarding the communications that you can choose to receive from us.
When you are logged into the website, we will retain a record of your website activity data (i.e. what resources you have downloaded and when you last logged in).
If you are giving your contact information in our surveys, then we will be using either our own internal systems or Survey Monkey website for collection and your information will only be used for that single survey purpose, unless otherwise clearly stated in the survey.
Testimonials will be used on our promotional (digital and paper) materials where permission has been given to us by you. When you provide feedback we will ask you whether you are happy for this to be shared along with your name and job title / organisation, anonymously or if you would prefer that we just use this internally and do not share this publically at all.
What we do with the information we collect
We require this information for the following reasons:
- To send you relevant information about our events, programmes and for you to download any resources you require as part of your organisation’s membership with us
- To respond to you if you have made an enquiry
- We may use the information to keep you up to date with what is happening at NGH Automation Accelerator via newsletters, but we will always let you know how you can opt out of receiving this
- We may periodically send letters or emails about conferences which we think may interest you using the contact details you have provided
- We may share your name and work emails with Northampton General Hospital NHS Trust, NHS England, NHS Improvement for joint events or communications we run with them
- You will be given an opportunity to opt-in to allow us to share your details with them when you book and attend our events
- We may use this information to improve our products and services
How we keep your information safe
We are committed to ensuring that your information is secure. In order to prevent unauthorised access or disclosure, we have put in place suitable physical, electronic and managerial procedures to safeguard and secure the information we collect online and manually. All manual data collection will be transferred securely online and then shredded through our confidential waste disposal process.
Information that is provided via the website will be stored in a Microsoft Azure, UK based data centre. Your personal data will not be transferred outside of the UK.
Data Retention
We retain personal information we collect from you where we have an ongoing legitimate business need to do so (for example, to provide you with a service you have requested).
When we have no ongoing legitimate business need to process your personal information, we will either delete or anonymise it or, if this is not possible (for example, because your personal information has been stored in backup archives), then we will securely store your personal information and isolate it from any further processing until deletion is possible.

Our website may contain links to other websites of interest. However, once you have used these links to leave our site, you should note that we do not have any control over that external website.
